What if I use my own application system?

Premium members can customize their Pre-screening application process by adding custom disclosures, custom questions, and setting auto-reply messages that will appear as soon as a renter applies. You can use these tools to further clarify your preferred application process. If you want to direct interested renters down a completely different application path, you can do so with these tools.

You will still benefit from our built-in Pre-screening process, even if you have a separate application system. Renter scores, motivation levels, and detailed renter analytics will always be available to help you make an informed tenant selection. If you don’t want anyone to view your property or apply, you can set its status to "Not Available."

What do application statuses mean?

Each application has a status which you can change to help keep track of who you may want to rent to. Applicants will also be automatically notified when their application status is changed.

Here’s what each status means and when to use them:

  • New for Review: These are new applications that you have not yet viewed. (Applicants will see their application status as Submitted.) Once you view an application, the status will change to Under Review.
  • Under Review: Use this status for applicants that you are actively considering for a property available now or soon. (Applicants will see their application as Received.)
  • Selected: Once you find an applicant you would like to rent to, you should change their status to Selected. Applicants will receive an invitation to lease.
  • On Waiting List: Use this status for applicants that you are not planning to rent to at this time but may consider in the future. Applicants will see that they are on your waiting list.
  • Rejected: Use this status for applications that you do not wish to consider. Applicants will see that their application has been rejected.
  • Withdrawn: If an applicant decides to withdraw their application themselves, this status will appear.

What happens when I select a renter?

When you change an applicant status to Selected, they will be notified of this status change. However, you should plan to follow up with them directly about all of the steps required to sign your lease and move in.

Why am I getting applications?

Applicants who are very interested in your property have the ability to submit pre-application details such as household income, current and past housing details, current and previous employment, and possibly other required documents and forms you may have requested in your Pre-screening settings. 

Applicants have expressed a more serious level of interest than Prospects. To get the most out of our applications, learn how to customize your Pre-screening application. You will find applicants on the “Applicants” page in your dashboard as soon as applications come through on your listing.

How do I add custom questions and disclosures?

Premium members can add up to 10 different questions or disclosure statements to their Pre-screening settings. Here's how:

  1. Navigate to the “Listings” page in your dashboard.
  2. Select More Actions on a specific listing, and then Pre-screening Settings.
  3. Scroll down to the “Custom Questions and Disclosures” section and select + Add Question.
  4. Then, you can add the following types of customized fields:
  • Text entry: Ask an open-ended question with a text field.
  • Select one: Ask a question with possible answers that you provide. Renters can only select one answer (such as a Yes/No question).
  • Select multiple: Ask a question with possible answers that you provide, but renters can select multiple answers that apply.
  • Disclosure statement: Add this to provide information to a renter before they apply. These could be a short statement or a longer legal disclosure.

When you save these settings for any listing, you have the option to apply the same settings to all of your listings. Simply check Apply changes to all listings.

All renters will be required to answer these questions when they apply. Note: The questions will not be applied retroactively to renters who already submitted an application to you.

How do I stop receiving applications?

To stop receiving applications for a specific property because it’s no longer available for rent, go to the “Listings” page in your dashboard, navigate to the listing, and change the Status to Not Available.

 

If a property is still available but you want to set up auto-responses, change your Pre-screening settings to customize reply messages to Applicants. 


How does the Waiting List status work?

Set and forget property listings in Waiting List mode to always have backup renters ready to contact. Interested renters will see a “Waiting List” button instead of “Apply Now” and will still be able to submit their Pre-screening application for your property. 

With Waiting List mode, you can still market and drive interest to your property, even if it’s currently rented, and always have a list of backup renters available to contact.

For Premium members, we automatically update and sort your waiting lists so the most active and interested renters for your specific property are at the top.

How do I invite applicants to apply to my property?

To invite applicants to apply to your listing, go to your dashboard. On the left-side menu, click on the "Applicants" tab. In the top right corner, click the Invite Applicant button.

A pop-up screen will appear where you can enter the applicant's name. Choose whether to contact them by email or text message, and then enter the corresponding email address or phone number. You can add a note to personalize your invitation, letting the applicant know you’re interested in having them apply to your listing.

Once you’ve filled in the necessary details, click Send Invitation. You’ll receive a notification confirming that your invitation has been sent. Please note that this option is only available if you already have applicants for your listings.
